Adding new to dos

Terms/Definitions

Drop Deadline - We’re going to “drop the ball” if it is not done today-today.

Last Eyes - The last person who generally checks over design, content, and approvals to ensure the item is ready to send out.

If the client adds a to do

The Project Manager will look at the to-do entry and modify based on below rules to the best of their ability.

 

If you are adding the to do

Title

Title must have caps on first letter of every word

NOT: Social media post about new hire

YES: Social Media Post About New Hire

 

Be descriptive about title

If it is about a specific lawyer at CBMS, include lawyers name

If it is an event, include event name and date

Use verbs! (“Post, Archive, Edit, Create, etc”)

 

Assigned To- this should be handled by the Project Manager/Primary

Always include Savanna and Alex (and Marcia if DJD)

 

Refer to Project Roles, the default is to include a Primary writer and/or designer if copy and/or design is needed.

 

If a client likes to review content on Basecamp, add them to the task.

 

Due On

Use the “Multiple Days” feature.

 

General rule-of-thumb: if the task is not urgent, timelines should be 1 week or 1 month at minimum.

 

You can include a timeline breakdown in the description, but the task due date should be the date the entire task is due. First deliverable is due. 

 

Notes

Major Details

First is major details. Keep this short. Example:

High Priority- due in 2 weeks

Promo for event, event is on 7/26

 

 

Primary

Primary: Name (design), Name (content)

 

 

Deliverables
  • Deliverables should be in bullets. Deliverables should include relevant details such as: file type required (or file size), due date if it exists, etc.
  • Each bullet is a separate task. 

    For example,

  • Socials: [add which socials]
    • Sizes: 
    • Formats: 
    • Size Limit: 
  • Deliverable #2 (Email blast)
  • Deliverable #3 (Archive Photos on Google Drive)

 

  • Call To Action / Key Message: any copy from client, or notes for making deliverables
  • Goal: any other notes/info that are super important (less important, put down below)

 

 

Example Basecamp Post:

High Priority due tomorrow 00/00

Primary: NAME (design), NAME (writer)

 

  • Social Posts: IG, LI
    • Sizes: 1080x1080px Instagram, 1200 x 627 px Linkedin.
    • Formats: 2 PNG & 2 MP4 (Animated)
    • Size Limit: 5MB
  • Email to client’s emailing list
  • Upload blog to website
  • Call To Action / Key Message: Buy your ticket for our event
  • Important Notes:
    • These cannot show images from last year's event.
    • They want to use a specific song for the animated video.

Underneath tasks, can provide more information.

  • Copy and paste emails from clients with important information
  • Add old pdfs from previous projects we can use as a template
